PURPOSE
Requesting City Council’s approval for the amendment to extend Master Price Agreement 22-007836M On-Call HVAC Services for a period of one year, which has been previously awarded to Building Technology Systems, Inc, and approving the resolution giving the City Manager, or designee, authority to sign the contract amendment. Per City Code Section 3-8-180, “After the City Council has approved a master price agreement with an annual not to exceed price, the City Manager may approve an annual extension and any amendment thereto, provided that the contractor has performed the work satisfactorily, all terms and conditions of the contract have been fulfilled, the funds for said extension and amendment have been appropriated, and so long as the dollar amount of said contract extension and amendment is within the authority of the City Manager to approve. All extensions and amendments to master price agreements in excess of the authority of the City Manager to approve shall be approved by the City Council.
BACKGROUND
Building Technology Systems, Inc. has provided exceptional service to the City of Brighton for over 20 years. The City utilizes their services for all the HVAC and building automation systems for all City buildings. This includes maintenance and upkeep, system breakdowns and emergency after-hours services.
CRITERIA BY WHICH COUNCIL MUST CONSIDER THE ITEM
The City Council must consider whether the City process for extending this Master Price Agreement has been followed if sufficient budget has been allocated and if the contractor is responsive and responsible.
FINANCIAL IMPACT
Sufficient appropriation exists for on-call HVAC services. Work orders will not exceed $600,000.
STAFF RECOMMENDATION
Staff will be recommending approval of Building Technology Services as a vetted, proven professional HVAC contractor with strong familiarity with City systems.
